Feature Overview

Sample Loader module is designed to streamline the process of importing customer and contact data into TruVoice for research and feedback initiatives. This intuitive, step-by-step interface enables users to quickly upload, configure, and review data files, ensuring accuracy and flexibility throughout the data onboarding process.

How it works

You can navigate using the Back and Next: Review Data buttons. The top-right Help icon provides additional support.

Upload File

Click on "Drag or select files"

This will open a file picker for you to select the desired CRM data dump file. You can also simply drag the file from your File Explorer right into the area.

How to Use the Sample Loader Module

Upload any CSV file that contains the information needed for each contact to be entered into the system as a sample for research to begin. The minimum required columns are the bare minimum for a new contact to be created, but you'll also want to include the Opportunity information and the contact's email address for outreach to begin with minimal delay.

TruVoice provides a multitude of different fields that you can inject information into. For a full list of these options, review the "Optional Columns" list above. If none of those options perfectly match a particular piece of information you want to have linked to the contacts, Custom Fields can be created to house that data. When preparing the file you want to use for your import, be sure to think about the different aspects you may want to aggregate or filter on once responses begin flowing in.

Common examples include the customer/prospect's region, market segment, and business size, as well as the deal size (value of the solution that was pitched), product(s) that were pitched, and the sales rep responsible for the deal.

Configure Columns

The "Configure Columns" screen in the Sample Loader module is where you map your uploaded data to TruVoice's fields. This critical step ensures data is correctly aligned for import, analysis, and reporting.

My Columns (Left Panel)

This panel lists all the columns detected in your uploaded CSV file. You can drag and drop these columns to the right panel to map them to TruVoice fields. Each column's name and a count of its occurrences are displayed.

Primary Intelligence Accepted Columns (Right Panel)

This panel shows the required and optional TruVoice fields. Some columns may be automatically mapped based on their names. For these, you must confirm the mapping is correct.

Mapping Status Indicators

  • Configured: A green check mark indicates a confirmed mapping.
  • Need Confirmation: An orange warning icon means a mapping requires your review.
  • Required Not Configured: A red icon highlights a required field that hasn't been mapped.

Mapping and Validation

Automatic Mapping

The system automatically maps columns with similar names. For each auto-mapped field, a confirmation prompt appears:

"{Field} was automatically mapped to the {Field} column. Is this correct? [No] [Yes]`"

Always review and confirm these mappings to prevent data errors.

Manual Mapping

For columns that aren't auto-mapped, drag them from "My Columns" to the corresponding TruVoice field. An unmapped field will display "Drag an Imported Column Here" and will not be imported unless mapped.

Special Options

  • Check for Combined First & Last Name Fields: Use this option to split a single name column into separate first and last name fields.
  • Check for Duplicate Contacts: This feature, enabled by default, checks for duplicate email addresses to prevent sending excessive communications.

Accepted Values

For some fields like Outcome and Customer Type, you must map your data values (e.g., "Win," "Loss") to the system's predefined accepted values. This ensures data consistency. You can also set unmatched values to "Leave Blank."

Additional Features

  • Search: Use the search bar to quickly find columns in both panels.
  • Reset: The Reset button clears all current mappings, allowing you to start over.
  • Add Custom Field: This option lets you create new TruVoice fields for data columns that don't fit the default schema. 

Configuration
Step-1: Click "Next: Configure Columns"

Once the file is selected and uploaded successfully, you can begin reviewing auto-mapped columns and map any others as desired.

Step-2: We can map a single available column to multiple accepted columns. The count shown in the right column reflects how many accepted columns it maps to.

  • In addition to Opportunity tags, we can map multiple columns that include Contact tagsOpportunity questions, and Opportunity notes.
  • Checkbox: Check for Combined First & Last Name Fields — TruVoice requires separate first and last name fields. If your data uses a single full-name field, the system can attempt to split it.
  • Different program types may have different columns and required fields.

Info: The system will automatically attempt to map columns from your file to probable TruVoice fields. The column configuration view gives you an opportunity to confirm or correct an auto-mapped column, as well as map any other columns that weren't picked up automatically.

Step-3: Each field has its own validation rules (a detailed list is available on request).
  • Research Type and Survey-only outreach (these fields also depends on the programTypes) options are available, similar to Add Contacts to Collector.

Step-4: Select "No" to reject an auto-mapped column

This will clear the mapping so you can map a different column if applicable. You can also directly clear a mapped column by clicking the red 'x' on the mapped field.

Step-5: Map multiple columns to TruVoice Tag fields

If you have multiple columns in your data file that you'd like to use as tags, you can map them all to the same target tag field as needed.

Pro Tip! Tags are one of the primary ways to filter data later on. Leverage as many tags as make sense when importing contacts to ensure you are able to aggregate and analyze on the different data sets you might be interested in in the future.

Use quick filters to review specific columns

Step-6: Click a filter option to refine the list to review those columns. Click the filter option again to clear the filter.

Step-7: Select "Next: Review Data" after all required columns and any desired optional columns are all mapped

Once the column mapping is complete, it's time to review the imported data itself to ensure everything looks good.

Step-8: Select "Yes, Continue Without Confirming" if necessary

If you did not directly confirm one or more auto-mapped columns, this warning dialog will appear upon selecting "Next: Review Data". You can select "No, Take Me Back" to close the dialog and double check unconfirmed auto-mapped columns manually, or select "Yes, Continue Without Confirming" to accept all unconfirmed auto-mappings as correct.

Review Data

This walkthrough details reviewing your data as the system has interpreted it, correcting any errors if necessary, and finalizing the import.

Select "View Details & Resolve Issues" to see contacts that will not be imported unless corrected

If there are not any flagged contacts, this section will not appear initially. If you skip one or more contacts from the "To Be Imported" section, this section will appear and allow you to double check those before completing the import.

 

Click "SKIP" on any row to exclude that contact from the import

Check the Status column for rows that need attention

Errors on optional fields will typically register when there is no data in that column for a given row.

Review all columns by scrolling horizontally

Double check your data to ensure the system interpreted everything correctly

Select any cell to edit its contents just like Excel

Whether you need to modify content that came from your file, or add content that was missing, you can select or double click into the cell to edit it.

Drag a cell down to auto-fill multiple rows with the same content if necessary

Click and drag the bottom corner of the cell
Review incorrect input

Certain TruVoice fields only accept certain values. When directly editing the data in the "To Be Imported" section, if your input does not match an accepted value, it will automatically detect this and move that row to the "Will Not Be Imported" section.
Here, the warning indicator, on hover, will inform you what the accepted values are so you can correct that input. Similar indicators will appear on any other fields that have content that failed validation, such as an email address that is not in the correct format.

Adding contacts to a Collector

Before importing the sample, you will have the option to add the new contacts to any Collector associated with your program.Assign all contacts to a collector: This option allows you to select which Collector to assign all the new contacts to. The drop-down option will populate with any Collector associated with your program. Once a Collector is selected it can be applied to all the new contacts.Assign contacts to collectors manually: This option will allow you to manually assign each contact. This can be used when adding multiple contacts to several different Collectors.Do not assign to a collector: This option will not assign the new contacts to any Collector, but you can still manually select a Collector from the Collector column below.

The Collector field in the grid will allow you to manually assign a Collector to each contact. This can be used when adding multiple contacts to several different Collectors.


Finalize the import :

After you've completed your review and everything looks good, it's time to finalize the import process.

Select "Complete Import"

Import is successful!

Upon completing the import, a confirmation message will be shown. From here, you can select "Import Additional Contacts" to load another file, or "View All Contacts" to be taken to the Sample module where you can do a final review of the imported contacts and/or check in on previously-loaded sample.
