What is it?
The Sample Status Module enables clients or customer success managers to efficiently track the status of their samples. It offers insights into the current performance metrics of all contacts, both present and past, who have been approached for web or phone interview feedback. Additionally, it includes metrics for discovery sessions, where applicable. This feature proves invaluable when one needs to ascertain the potential sample size and the percentage of respondents who have provided feedback versus those who are yet to do so.

- Discovery Sessions: Seller feedback sessions conducted live to discuss buyers' feedback and provide insights from the seller's perspective.

Navigation
The Sample Status module can be located in the navigation menu under Admin > Sample Status (Beta).

Overview
The Sample Status module contains views to toggle between All Interviews, Survey, Interview, Discovery, Decision, and Experience. The timeframe options that filters the view on current contract and time periods. As well as the Current Contract details.
- All Interviews: the summary view and list view displays data for all survey and interview contacts.
- Survey: the summary view and list view displays data only for survey only contacts.
- Interview: the summary view and list view displays data for interview outreach contacts.
- Discovery: the summary view and list view displays data for the discovery session contacts.
- Decision: the summary view and list view displays data for the decision research type contacts.
- Experience: the summary view and list view displays data for the experience research type contacts.
- Timeframe: options to filter the view of current contract as per selected timeframes. Default timeframe selected will be "Current Contract" i.e. from the start date of contract to current date. Other available options are All Time, Last 12, 6, 3 and 1 months.
- Contract Details: the summary of current contract.
Contract Details
The Contract Details module provides vital information to the user regarding the current contract like contract health, contract timeframe, credits remaining, interviews, surveys, discoveries and sample.

- Time Remaining: the summary of contract period and number of total and working days remaining.
- Credits Remaining: the summary of credits delivered and credits remaining out of total credits.
- Interviews: displays the total number of published interviews.
- Surveys: displays the total number of published surveys.
- Discoveries: displays the total number of completed discoveries.
- Sample: displays the number of days since last sample.

- Profiles: displays the total number of profiles with survey and interviews.
- Survey Only: displays the total number of profiles with surveys only.
- Interview Only: displays the total number of profiles with interviews only.
- Contacts with Survey + Interview: displays the total number profiles with both survey and interview.

Published Surveys
- Surveys: Displays the total number of surveys that are published.
- Contacts with Survey + Interview: displays the total number of published surveys with survey and interview completed.
- Contacts with Survey Only: displays the total number of published surveys with only survey completed.

Email Metrics
- Never Opened: displays the data for contact outreach emails that have not been opened.
- Bounced: displays the data for contact outreach emails that have bounced or are invalid.
- Opened: displays the data for contact outreach emails that have been opened.
- Opted Out: displays the data for contacts that have opted out .
- Clicked Link: displays the data for contact outreach emails that have been opened and the survey link has been clicked.

Phone Interview Opt-in
- Yes: displays the data for contacts that have opted in to participate in a phone interview.
- No: displays the data for contacts that have declined to participate in a phone interview.

Completed Interviews
- In Progress: displays the data for interviews that are still in progress.
- Contacts with Interview Only: displays the total number of completed interviews with only interview completed.
- Contacts with Survey + Interview: displays the total number of completed interviews with survey and interview completed.

Phone Interview Approval Queue
- Eligible: displays the data for contacts that are eligible for an interview.
- Requested: displays the data for contacts that have been requested for an interview.
- Approved: displays the data for contacts that have been approved for an interview.
- Rejected: displays the data for contacts that have been rejected for an interview.

Published Discoveries
- Total Discoveries: displays the total number of published discovery sessions.
Summary view
Each view provides a graphical breakdown of sample in each stage, grouped by outcome. This makes it easier to ensure a good balance of data points is being pursued and identify if contacts for a certain outcome might need some extra attention or incentive to secure more feedback for that outcome.

The Summary tab shows several different stages that are used to determine the status of each respondent:
- New: Contacts that have been recently added and have not started outreach
- Active: Contacts that are currently receiving outreach or rescheduling and have not provided feedback.
- Disqualified: Contacts that did not qualify for the outreach process. (Not involved, no longer with the company, etc.)
- Qualified: Contacts that are qualified for the outreach process or have provided feedback.
For the contacts that are qualified additional stages are used to determine the status:
- Unresponsive: Contacts that have reached the the end of outreach process.
- Refused: Contacts that responded to not participate in providing feedback.
- Success: Contacts that have already completed providing survey feedback or completed a phone interview.
A Contacts by Status modal will appear when selecting any of the values to allow you to review the individual opportunities based upon their status. All opportunity contacts in the dataset will be displayed in the grid.
The modal allows you to filter or find specific opportunities or accounts, or download the dataset into Excel using the download button. The following default columns are available in this view:
- History: view the outreach history of the contact.
- Interview Requested: displays the status of the contact if they have been requested for an interview.
- Interview Approved: displays the status of the contact if they have been approved for an interview.
- Opt-In: displays the data of the contact fi they opted-in to participate in an interview.
- Opportunity: displays the name of the opportunity.
- Contact: displays the name of the contact associated with the opportunity.
- Products: displays the product(s) associated with the opportunity based on how products have been configured in TruVoice.
- Outcome: displays the outcome type for the opportunity.
- Added: displays the date the opportunity contact as added.
- Last Activity: displays the last activity of the opportunity contact.
- Last Activity Date: displays the last activity date of the opportunity contact.
- Interview Date: displays the completed interview date of the opportunity contact if one has been completed.
- Publish Status: displays the publish status of the opportunity contact if feedback has been provided.
- Interview Stage: displays the interview stage of the opportunity contact.
- Survey Stage: displays the survey stage of the opportunity contact.
Additional columns can be added as well to the grid to assist in providing additional data.
List View

The List View tab will display all the opportunity contacts for the selected program. This view allows you to filter or find specific opportunities or accounts, or download the dataset into Excel using the download button. The following default columns are available in this view:

- Interview Approved: displays the status of the contact if they have been approved for an interview.

Example Use Cases:
- Progress Monitoring: Use the Sample Status module to monitor the progress of all contacts, or targeted contact types, and gain insights that can help ensure the feedback outreach process is staying on track.
- CSM Oversight: Customer Success Managers can utilize the module to oversee sample statuses for different programs, enabling proactive engagement and timely interventions where necessary.
- Program Management: Program Managers can leverage this module to track the effectiveness of outreach efforts, identify bottlenecks, and optimize strategies for sample engagement and participation.
