Feature Overview

The individual Reminder Email setup enables administrators to define detailed settings for automated feedback request reminders. This comprehensive configuration page allows organizations to configure reminder triggers, email content, frequency schedules, and recipient settings to create a targeted reminder campaign that encourages improved feedback submission rates and helps ensure data completeness.

How It Works

The reminder email detail page provides a tabbed interface for configuring all aspects of automated reminder delivery:

  • Basic Settings:
    • Reminder Email Label: A descriptive name for this reminder configuration (e.g., "Enterprise Win/Loss Follow-up", "SMB Experience Survey Reminders")
    • Feedback Requests: Enable/disable toggle to activate or deactivate this reminder automation
    • Survey Collector: Select the TruVoice survey collector that reminders are associated with
  • Sender and Recipients Tab: Configure who sends reminder emails and who receives them:
    • Send As: Choose between organization admin or opportunity/account owner as the sender
    • Custom Sender Conditions: Field-based rules for sender selection when using dynamic senders
    • Email Recipients: Define who receives reminder notifications (typically opportunity/account owners)
    • CC Recipients: Additional team members or managers to include on reminder emails
  • Email Content Tab: Customize the reminder email appearance and messaging:
    • Email Subject: Configurable subject line with token support for dynamic content
    • Email Body: Rich text editor for reminder message content with merge tokens
    • Email Templates: Pre-built templates optimized for different reminder scenarios
    • Branding: Organization logo and styling options for professional appearance
  • Trigger Conditions Tab: Define which opportunities/accounts qualify for reminders using CRM field filters:
    • Lookback Period: Time window for considering closed opportunities/accounts (1 day to 1 year)
    • Owner Status: Whether to include opportunities/accounts where owners are enabled/disabled
    • Opportunity/Account Status: Specific stages or criteria that trigger reminders
    • Custom Filters: Additional CRM field conditions using the search interface
  • Email Frequency Tab: Control the timing and cadence of reminder delivery:
    • How Many Email Reminders: Maximum number of reminder emails to send (1-10)
    • Days Between Reminders: Interval between reminder emails (1-30 days)
    • Reminders Will Be Sent On: Specific weekdays for reminder delivery
    • Time Zone: Organization time zone for scheduling reminder emails

The interface includes form validation, unsaved changes warnings, and test email functionality to ensure reminders work as expected before deployment. A change log in the footer allows administrators to view previous versions of the reminder settings, providing a helpful way to review what changes were made over time.
