TruSales > Organization Settings > Manage Users

  • Updated

Feature Overview

The Users Management setup enables administrators to view, synchronize, and manage all users within their organization. This centralized user management interface provides comprehensive control over user access, onboarding, and communication, ensuring that all team members are properly integrated into the TruSales system and have the necessary access to perform their roles effectively.

How It Works

The interface displays a comprehensive table of all organization users with detailed information about their status, activity, and access levels. Administrators can synchronize user data from the connected CRM system to ensure the user list remains current. The system supports bulk operations for user onboarding, including selecting multiple users and sending welcome emails to facilitate smooth integration. Advanced filtering and search capabilities help administrators quickly locate specific users or groups, while real-time status indicators show invitation status, activity levels, and system access.

  • User Management Process:
    1. View User List: Access the complete organization user directory with status indicators and activity metrics
    2. Synchronize Users: Update the user list from the CRM system to reflect current organizational changes
    3. Select Users: Use checkboxes to select individual users or apply bulk selection criteria
    4. Send Welcome Emails: Send onboarding emails to selected users to complete their account setup
    5. Monitor Status: Track invitation status, user activity, and system engagement through visual indicators
  • Key User States:
    • CRM Connected Users: Users who authenticate via CRM integration (Salesforce, etc.) with established CRM credentials
    • Email/Password Users: Users who authenticate using email address and password credentials
    • Active Licensed Users: Users with valid, active licenses and regular system access
    • Inactive Licensed Users: Users with valid licenses but no recent login activity
    • Pending Invite Users: Users who have been sent invitations but haven't completed account setup
    • Integration Users: System accounts used for automated data synchronization and API access

Use Cases

  • For Admins: Maintain synced user directories, manage user onboarding workflows by sending targeted welcome communications and login links, monitor user activity patterns, and troubleshoot permission issues.
