Feature Overview
The GDPR Compliance Settings setup enable organizations to automatically mask or anonymize personal contact and sales representative information based on geographic location to comply with General Data Protection Regulation (GDPR) requirements. This feature helps organizations operating in or with customers in GDPR-regulated countries maintain compliance by preventing the display of personal identifiable information(PII) for contacts and sales reps located in those regions.
How It Works
The system provides two separate compliance settings that control how personal information is handled during data synchronization and display:
- Contact GDPR Compliance Settings:
- All Contacts: No masking applied-all contact names, emails, and phone numbers are imported and displayed normally
- Contact Location-Based GDPR Compliance: Automatically masks contact information (name, email, phone numbers) when the contact is located in a GDPR-regulated country
- Opportunity Location-Based GDPR Compliance: Extends masking to check both contact location and account/opportunity location-if either is in a GDPR country, all associated contact information is masked
- Sales Rep GDPR Compliance Settings:
- All Information: No masking applied-all sales representative information is displayed normally
- Sales Rep GDPR Compliance: Masks sales representative information when they are located in a GDPR-regulated country
- GDPR Compliance Process:
- Location Detection: System checks country information from CRM data for contacts, accounts, and sales representatives
- Automatic Masking: When GDPR compliance is triggered, personal information is replaced with hashed/anonymized values
- UI Display: Masked information appears as anonymized text in the TruSales interface
- Data Integrity: Original data remains in CRM but is not displayed in TruSales
Changing GDPR compliance settings requires a full data resync to apply the new masking rules to existing records. The system displays a warning modal when settings are changed, requiring confirmation before proceeding with the resync.
